Introduction

EWM ERP is our internal management tool, built by the agency for the agency. 

It covers EWM's entire day-to-day: project and budget tracking, team planning across our offices, support contracts, hosting, invoicing and prospecting. 

Every screen answers a question we were actually asking — one that off-the-shelf tools left unanswered.

This time, the client is us !

EWM is a Geneva-based digital agency with teams spread across several offices. 

Custom-built websites, support contracts, hosting to keep an eye on — and a standard we hold ourselves to: try on ourselves what we recommend to our clients.

The Challenge

Our day-to-day was scattered across six tools: hours in Tempo, tickets in Jira, invoices in Bexio, schedules, quotes and support contracts in spreadsheets. 

Every simple question — where does this budget stand? who's free in June? which invoices need chasing? — meant cross-checking three sources by hand. 

At agency scale, that friction costs hours every week and slows every decision.

Our Solution

We designed an ERP that plugs into our systems rather than replacing them: hours flow in from Tempo, tickets from Jira, invoices from Bexio — nothing is entered twice. 

On that foundation sit modules shaped by how we actually work: per-role budgets with margin in francs, three-month team planning, support contracts tracked by the hour, batch invoice reminders, a sales pipeline. And AI is already on the payroll: hosted in Switzerland by Infomaniak, it analyses a site's mockups to prepare content collection — which clients then complete by clicking directly on their future page.

The Results

The ERP has become the agency's cockpit: eighteen active projects, six roles spread across our offices, forty-four open invoices tracked in one place. 

Each project's margin can be read at a glance, reminders go out in two clicks, and content collection — historically the bottleneck of every web project — is now a guided journey for the client. Above all, the tool keeps growing: one week's friction becomes next month's feature.
